How to Turn Meeting Notes Into an Action Plan With AI
Meeting notes often contain useful information mixed with repeated ideas, incomplete sentences, and unrelated comments. An AI assistant can help organize those notes into a practical action plan—but only when it receives enough accurate context.
This guide provides a reusable prompt for turning rough notes into a concise meeting summary, decision list, and action-item table.
Before using AI, clean the notes
You do not need to rewrite everything. Spend a minute removing information that should not be shared with an AI tool, including:
Passwords and login credentials
Private financial or medical information
Confidential customer records
Sensitive employee information
Information restricted by your employer
Correct obvious spelling errors only when they could change the meaning. Keep names, dates, numbers, and deadlines accurate.
Copy and customize this prompt
Replace everything inside brackets before submitting the prompt.
Prompt:
Act as an organized meeting assistant.
Turn the meeting notes below into a clear and accurate action plan.
Meeting purpose: [describe the purpose]
Participants: [list names or job roles]
Meeting date: [date]
Raw notes:
[paste the meeting notes]
Create the response using these sections:
Meeting summary — no more than five sentences.
Decisions made — include only decisions clearly supported by the notes.
Action items — create a table with Task, Owner, Deadline, Priority, and Status.
Open questions — list issues that still need an answer.
Follow-up agenda — suggest topics for the next meeting.
Important instructions:
Do not invent missing decisions, owners, or deadlines.
Write “Not specified” when information is missing.
Separate confirmed facts from suggestions.
Use clear, professional language.
Flag any statement that appears unclear or contradictory.
Ask me to verify the final action plan before it is shared.
Example
Imagine the raw notes say:
“Website launch may move to Friday. Jordan will confirm the product images tomorrow. Mia needs final pricing from accounting. The team agreed to test the contact form before launch. No one was assigned to check the mobile version.”
A useful response should identify:
Jordan’s task: confirm the product images.
Mia’s task: obtain final pricing.
The team’s decision: test the contact form.
The launch date as unconfirmed.
The mobile test owner and deadline as not specified.
This is safer and more useful than allowing the AI to guess who should perform an unassigned task.
Improve the first result
The first response may not be perfect. Review it against the original notes, especially names, dates, amounts, decisions, and responsibilities.
Use one of these follow-up prompts when necessary:
Make it shorter:
“Reduce the summary to three sentences. Keep every confirmed decision and action item.”
Find missing information:
“Review the original notes and action plan. List every task that is missing an owner or deadline. Do not assign them.”
Create a follow-up email:
“Using the verified action plan, draft a concise follow-up email. Separate decisions, action items, and open questions. Use a professional and friendly tone.”
Prepare the next meeting:
“Create a 30-minute follow-up agenda based only on unfinished action items and open questions.”
Check the output before sharing it
AI-generated summaries can contain mistakes, even when the prompt is detailed. Before sending the action plan:
Compare it with the original notes.
Confirm every name and deadline.
Check that suggestions are not presented as decisions.
Ask task owners to confirm their responsibilities.
Correct any missing or misleading details.
Clear prompts improve the result, but human review remains essential.
OpenAI’s prompting guidance also recommends being specific, providing relevant context, and refining the request after reviewing the first response. Read the official guidance at:
