How to Write a Professional Email with AI: A Simple Prompt and Checklist

Writing a professional email can be difficult when you know what you want to say but cannot find the right words. AI can help organize your notes, adjust the tone, and make your request clearer.

The most useful approach is to give the AI accurate details, ask for a focused draft, and review every sentence before sending. Here is a simple workflow you can reuse.

1. Write down the facts first

Before opening your AI tool, answer these four questions:

  • Who will receive the email?

  • Why are you contacting them?

  • What information do they need?

  • What action would you like them to take?

Your notes do not need to sound polished. For example:

“I sent a proposal to a potential client last Tuesday. I want to check whether they received it and ask if they have questions. Keep the message friendly, without pressure.”

Use details you know are correct. If you have not agreed on a deadline, do not ask the AI to write as though one exists.

2. Copy and customize this prompt

Replace the information in square brackets before using it:

“Help me draft a professional email.

Recipient: [person or audience]

Purpose: [why I am writing]

Confirmed facts: [details the email must include]

Requested action: [what I want the recipient to do]

Tone: [friendly, formal, direct, or another suitable tone]

Length: [approximate word limit]

Write a clear subject line and a concise email with a greeting, a brief explanation, one clear request, and a closing.

Use only the facts I provide. Do not invent dates, promises, attachments, prices, or previous conversations. If an essential detail is missing, ask me a question before drafting.”

This prompt gives the AI a purpose and boundaries. It also helps you notice missing information before the draft is written.

3. Review an example

Suppose you want to follow up on a proposal. You could provide these details:

  • Recipient: Jordan, a potential client

  • Purpose: Confirm receipt of a proposal

  • Confirmed fact: The proposal was emailed last Tuesday

  • Requested action: Let me know whether it arrived and whether there are questions

  • Tone: Friendly and professional

  • Length: Under 90 words

An illustrative draft might look like this:

Subject: Following up on the proposal

Hi Jordan,

I’m following up on the proposal I emailed last Tuesday. Could you let me know whether you received it?

If you have any questions or would like me to clarify anything, I’d be happy to help.

Thank you for your time.

Best,
[Your name]

Notice that the email makes one clear request. It does not claim that Jordan agreed to anything or create an artificial deadline.

4. Ask for a specific revision

If the first draft does not sound right, tell the AI what to change. Useful follow-up prompts include:

“Shorten this email to under 70 words while keeping the purpose and request.”

“Make the tone warmer, but remove exaggerated praise and sales language.”

“Replace formal phrases with everyday words while keeping the message professional.”

“Show me two subject lines: one direct and one friendly.”

“Identify any claims in this draft that were not included in my original notes.”

Make one or two focused revisions, then read the result yourself. Repeatedly asking for a “better” version without explaining what needs changing can produce unnecessary wording.

5. Check the email before sending

Use this checklist:

  • Are the recipient’s name and email address correct?

  • Are every date, amount, and factual statement accurate?

  • Does the message contain one clear request?

  • Is the tone appropriate for the relationship?

  • Have I removed every placeholder?

  • If the email mentions an attachment, have I attached it?

  • Does the email make any commitment I cannot keep?

  • Would I feel comfortable saying these words directly to the recipient?

Keep passwords, account numbers, confidential business details, and other sensitive information out of your prompts. For work emails, follow your employer’s rules about which AI tools and information you may use.

A reusable habit

Save the prompt somewhere convenient. Each time you need an email, start with the recipient, purpose, confirmed facts, and requested action.

AI can help you produce a draft, but your final review determines whether the message is accurate, clear, and suitable to send.
